A quarter of invoices, closed in 2 hours

An owner who runs three companies had a quarter of invoices scattered across Gmail, certified email, Stripe and Microsoft dashboards. He gave an agent one job: close the quarter. The agent searched by sender, not by keyword. It pulled each PDF, read the date, vendor and amount, and renamed every file with one pattern. It sorted the files into monthly folders. It put outgoing Stripe invoices in a separate CSV. It made a task list for portal invoices that have no PDF in email.

How it wentTwo hours later the quarter was closed (poster's claim). The agent flagged 7 anomalies. One consultant had sent 3 invoices on the same day. One company card had been declined many times. One invoice carried a wrong office address. He saved the full run as a reusable plugin. He says the next quarter should take 15 minutes.

ROLE: You're my accountant colleague. OBJECTIVE: Close the quarter's expenses for my company by organizing the quarter's receipts so the bookkeeper can process them in a single pass. TASK: Read my Gmail and search for emails that contain the word "Invoice" and have an attachment. For each one, identify the vendor, the date, the amount, and the likely expense category (Travel, Meals, Office, Software, Other). Then: 1. Save the attachment and rename it: YYYY-MM-DD_VendorName_Amount.[ext] 2. Copy each renamed file into a subfolder named after the month ([YYYY-MM], one folder per month) 3. Produce a CSV with columns: filename, date, vendor, amount, category, notes Save the renamed files in [output folder]. Save the CSV in [output folder]/[summary file name].csv. CONTEXT: Some receipts are blurry or partial. Mark with "VERIFY" in the notes column anything you can't read with confidence. CONSTRAINTS: - Don't delete or modify the originals. - Show me the plan and wait for my approval before any file operation. - CSV format: standard CSV.
