Purchase orders sync themselves to Xero
Two Reddit posts from the same builder describe three Make.com scenarios covering the purchase-to-payment cycle between Monday.com and Xero. When a purchase order is approved in Monday, a scenario creates the Xero purchase order with all line items, saves the PDF, and creates the corresponding bill. Client invoices run the other way: the details live in Monday, Xero issues the invoice, the PDF is attached back to the Monday item, and the client is emailed. Supplier invoices uploaded to Monday are matched to the right Xero bill by purchase order reference and attached there.
How it wentBoth posts report all three scenarios fully tested and running in production. If anything fails, the Monday item is flagged with a comment explaining exactly what went wrong, so nobody has to open Make.com to find the problem; the employee fixes the data, resets the status, and the scenario retries. A fourth scenario, updating Monday when a bill or invoice is paid in Xero, was still being built. No time-saved figure is given.
Try it · based on the source's workflow
Build a sync between [Monday.com] and [Xero] with Make. When a purchase order on [board] is marked [ready or approved], create the purchase order in Xero with all line items, find or create the supplier, save the PDF back to the Monday item, and create the matching bill. Do the same for client invoices, attach the PDF, and email it to the client only after I approve the first few. If any step fails, flag the Monday item [Needs Attention] with a comment saying exactly what broke. Show me three test orders end to end before it runs on live data.
