Can an AI agent answer my business phone after hours?
Can an AI agent answer my business phone after hours?
Short answer: yes. In our published cases, an AI receptionist answers the phone when the shop is closed, not just takes a message. It answers questions from the business's own information, checks the real calendar, books the job or appointment, and passes emergencies and hard questions to a person. A dental clinic whose front desk stopped at 6 PM booked 40% more appointments in 30 days, mostly after hours, and missed no call after 6 PM, per its builder. (case)
How it works on the phone, from the cases
- It says it is an AI, and it sticks to your own information. In the vendor worked example, the agent tells the caller she is an AI, answers only from the business profile, quotes prices only from the price list, and offers only times when the owner is actually available. (case)
- It books from the real diary, around the clock. The dental clinic's agent books through Calendly and captures lead details around the clock; the pharmacy agent answers routine calls around the clock and can pick up several calls at once, so no call goes to voicemail. (case · case)
- Emergencies and hard questions go to a person. A home-services agent transfers emergencies; words like water leak or electrical failure trigger an instant alert to maintenance in the property case; and the pharmacy agent passes hard or clinical questions to staff with the full call context. (case · case · case)
- You choose when it picks up. One owner can let the phone ring for 10 to 40 seconds first, or have the agent pick up at once. Another setup uses a three-ring rule: calls ring the team first, the AI answers only if no one picks up, and callers who want a person get one. (case · case)
- You get a note, not just a recording. In the worked example the owner gets a short note after the call rather than a recording; in the property case each call ends with a summary and transcript by text or email. (case · case)
What the sources report it achieved
Each outcome below is quoted as its case reports it, attributed to whoever reported it: an owner, a builder, a consultant, or a vendor. None of these figures are our measurements, and they are not independently verified by us.
| Case | Outcome, as reported | Source |
|---|---|---|
| 40% more appointments, after-hours agent | In 30 days the clinic booked 40% more appointments, mostly after hours, routine how-do-I calls fell 60%, and no call after 6 PM went missed, per the author. He is the builder of the tool and links a free tier, so read the figures as a builder's report on a single clinic over 30 days. | dev.to (Adarsh Kant) |
| 26 appointments from unanswered calls | 26 sales appointments booked in 30 days from calls that would otherwise have been missed, per the owner. He does not name the tool or say how many of the appointments became jobs. | Mervin Wickey on X |
| 81% of HVAC calls, handled alone | About 14 net new jobs a month at a $580 average ticket, roughly $8,120 a month in new revenue against $229 a month in total cost, per the consultant. Before the change, only 4 jobs came from 264 missed calls over three months. | Jahanzaib Ahmed blog |
| 749 calls, 380 refills submitted | In its first 30 days the agent handled 749 calls and submitted 380 refill requests with no staff member picking up, per the vendor. The figures are TJM Labs' own product page, not an independent report, and the page reports no failure or limit for this pharmacy. | TJM Labs |
| Answer rate: 38% up to 100% | The answer rate rose from 38% to 100%. He saves over $1,000 a month after cancelling the live service. Tenant issues that need a person fell 60%. The study also claims 40% more on-time rent payments and 30% fewer evictions, with no data shown for those two claims (vendor's figures). | Dialzara blog |
| 30% of missed leads, recovered | The setup covered the missed-lead gap of about 30%. The company reports zero missed calls. The AI now books more appointments than any one team member. The team then had more booked meetings than it could close well, so coaching shifted to closing (vendor's figures; the client is not named). | Vendasta success story |
| Answer rate: 61% to 94.3% | Per Sitka's case study: answer rate rose from 61% to 94.3%, missed calls fell from 7,400 to 1,080 a month, 71% of calls were handled fully by the AI, and the firm booked $3.1M in new revenue in year one against $412K in program cost. The client is anonymized and the figures are the vendor's. | Sitka AI case study |
| An AI answers instead of voicemail | The source reports no individual owner's result. Its only figures are the vendor's own pricing: the Start plan is 19 euros a month and, by the vendor's estimate, around 40 answered calls a month come to roughly 2,000 credits. Treat this as a vendor's worked example, not a customer case. | DEV Community (Weyvox) |
The same after-hours cover on a message line, not the phone
These two cases are not phone cases, and we do not present them as phone results. A med spa's after-hours cover runs on its website and text line, and a bookkeeping firm's agent answers client questions overnight and queues the rest for the morning with full context attached. They show the same after-hours job being done off the phone.
| Case | Outcome, as reported | Source |
|---|---|---|
| After-hours cover for a med spa | Handles 60% of after-hours inquiries with no human involved, and the owner gets a clean summary each morning (per the agency). | Brothers Automate blog |
| After-hours bookkeeping, answered overnight | About 70% of after-hours questions answered directly; the rest queued for the morning with full context attached (per the builders). | Brothers Automate blog |
