What AI tools do small businesses actually use?
What AI tools do small businesses actually use?
Short answer: in our 200 published cases, 145 name a tool and 55 name none. The 145 named cases cover 62 tools. Two appear most: Grok Bot in 26 cases and Claude in 22 cases. After those, the counts fall fast: 48 tools appear in exactly one case each. Full table below, counted from the cases.
The tools that appear more than once
Only 14 of the 62 tools appear in two or more cases. Each row gives the count, what the tool is where we have a plain description of it, and the newest case that names it. The counts are cases in this publication, not sales or market share: a tool appears here when a public post we published as a case names it.
| Tool | Cases | What it is | Newest case naming it |
|---|---|---|---|
| Grok Bot | 26 | xAI's background agent. It runs longer jobs on its own cloud computer, like a remote coworker. | Two days, 158 forms, one warning |
| Claude | 22 | Anthropic's general assistant for chat, writing, and analysis. | 125GB cleared, six settings fixed |
| Claude Code | 8 | Anthropic's coding agent. It works in the terminal, and owners also give it research and office jobs. | €600 contractor invoice, stopped cold |
| n8n | 8 | A workflow automation tool people build agents on. It connects apps in step-by-step flows. | First replies in 20 seconds flat |

| OpenClaw | 6 | An open-source personal agent that a person hosts and runs on their own setup. | $14,718 in three weeks, from $1,000 |
| Grok | 5 | xAI's general assistant, built into X and the Grok app. | 20 owners a week, mailed by a bot |
| Claude Cowork | 3 | Anthropic's desktop agent for everyday work with your own files. | Invoices automated and inbox ranked daily |
| Muse | 3 | Meta's personal AI agent. It works across a person's inbox, calendar, and accounts. | 464 prospects found, no customers yet |

Every tool, counted
The full count, in order. The topics column names every topic that tool's cases fall under, and the example is the newest case naming the tool, so any count can be checked against its cases on the tool page.
The long tail, and the cases that name no tool
48 tools appear in exactly one case each: GPT-4o · Intuit Assist · Toast IQ · Vic.ai · Text · OpulentBots · Botpress · PolyAI · GoHighLevel · NetSuite · Monk · LeadSynth AI · Gemini · Solutionreach · VoiceFleet · Savvy Agents · SendPulse · Veda · Qualified · Powervox · Gorgias · EmployJoy · ServiceTitan AI Agent · TJM Labs Voice AI · HiJiffy Email Copilot · SevenRooms AI Responses · SevenRooms Voice AI · Luxury Presence AI Lead Nurture · AnveVoice · Scorpion Convert · Omni · Dialzara · WorkBuddy · fileAI · HappyGF · Doozy · Ollama · Weyvox · Meta Business Agent · Hark · Meta AI · Instinct · Postiz · SalonIQ · Dapta · Quinn · Taspi · Sitka. And 55 of our 200 cases name no tool at all. Some of those owners built their own setup; some posts simply do not say which tool ran. Those cases are collected on the Other or custom page. So the honest picture from our cases is not one winning tool: it is two general tools named often, a handful of automation and agent tools named a few times, and a long tail of single-case tools, many of them built for one job, such as answering a business phone.
